Address Formatting

This is the known issue. You will need to contact American Express customer service representative to add your mailbox number in the address. They have to do it manually for you. Unfortunately, there is no way for you to do it by yourself via their online portal.

This was reported to be the best solution by add the “ATTN” line as shown below:

You will need to call GEICO customer service at 800-861-8380.

Instruct their customer service representative to add this information ” SUITE 240-XXXX” in the “NAME/STREET OVERFLOW” field.

Note: XXXX is your assigned mailbox number.

That can sometimes happen due to their verification system which relies on the US Postal Service database. Sometimes they’re either outdated or there is a miscommunication between their system and the US Postal Service database.

If you continue to have trouble, please let us know and we’ll work with you and your sender to figure out the best way to make it work. The chance is that we may have customers who already have successfully updated their address correctly with the same sender you have. For example, a bank or credit card company.

Billing Questions

We completely understand when it is necessary to cancel the service. We’ll be sad to see you go. Please be sure to clear out your account by doing one of the final action items: SHRED, FORWARD, or PICKUP.

When you’re done, please go to https://cancel.scanmailboxes.com to formally request the account to be canceled.

We keep both our mailbox system and billing system separate for security reason. Both systems will not be synced with the same password. If you need to update your billing account information, please visit https://billing.scanmailboxes.com

Note: we use Recurly subscription billing system.

Mail Forwarding

Yes, you will be required to complete the customs declaration form when making a forwarding request. Here’s the link to start the process: https://customs.scanmailboxes.com

When shipping via U.S. Postal Service, you can request USPS First Class Mail with USPS Tracking from the drop-down menu. We also have a deep discount with FedEx for any shipping service and they all come with tracking numbers by default as well.

Our selective mail forwarding service ensures that you receive only the packages and letters you selected. You simply mark which items you want, where and when you want them sent, and weÕll forward them on to you to any destination in the world!

We use USPS or FedEx Express and Ground at a deep-discounted rate to forward all mail and packages. For those who live in Austin, TX — we do offer courier service which will pick your items up and bring to you on the same day if requested before 12:00 PM central.

All digital information and systems are run from cloud-based servers and will stay up in the event of an emergency at our facility. In the event of such an emergency, we have plans in place to transfer storage and sorting operations to a new location immediately. You shouldnÕt notice any change in your service.

Yes! If you are unable to do deposits using your mobile device with the scanned images, then we can deposit or mail it for you.

If you make the deposit request before noon (12:00 PM) central time zone, it will be processed on the same day. Otherwise, it will be deposited or mailed on the next business day.

If you do stop by Scan Mailboxes without completing the pickup request, your account may incur a $5.00 last-minute pickup fee. We’d like to avoid that if possible.

Of course! If you are using FedEx or UPS, simply make sure that they use your home or business address, other than your Scan Mailboxes address. They will deliver the package to you directly.

However, please keep in mind, if you did a US Postal Service Change-of-Address, any packages delivered by US Postal Service (USPS) will be re-directed to your Scan Mailboxes address including some of the orders via Amazon which may use FedEx SmartPost or UPS Mail Innovations by utilizing the U.S. Postal Service¨ (USPS) for final delivery.

Our address can be used for personal or business use, but they cannot be listed as a residence or business address on legal documents.

If you are registering a business with the Texas Secretary of State, you will need a Texas Registered Agent Service, which we offer separately from the Scan Mailboxes service. Click here for more information about our Registered Agent Service.

Yes, we accept both mail and package deliveries from the United States Postal Service (USPS), FedEx, United Parcel Service (UPS), DHL, and any other shipping company at our office location. Our office is open during regular business hours, and we sign for all your mail and package deliveries.

However, we will not be able to accept any perishable (i.e. cookies, pizza, flowers, plants, etc) as they will be refused.

Absolutely! All mail disposed of in our office is shredded and recycled at no additional cost. The security of your mail is extremely important to us. This includes junk mail if any.

Any mail addressed specifically to your name and mailbox number will be delivered and will count towards your account limit. We do not want to run the risk of mistakenly destroying any mail that is wanted. We want to leave that decision in your hands. Any mail addressed to “current resident”, “current occupant”, “current business owner”, etc. will be discarded as we do not know for whom such items were originally intended.

Online Mailbox Account

Before you can archive or delete an item in your mailbox account, you will be required to do one of the FINAL ACTION requests:

  1. Shred
  2. Forward
  3. Pickup

Once one of those action requests is completed, that’s when you’ll be able to archive or deleteÊthem. This confirms that we do no longer have any of your mail pieces in our office and storage fees, if any, will not be charged to your account.

ARCHIVE
If you archive them, you’ll be able to access your scanned images at no additional cost as long as your account is in good standing. It is highly recommended to download the scanned images as PDF to your computer or your cloud storage such as Google, just in case.

DELETE
If you mark them to be deleted, it will be moved into the TRASH folder and after 30 days, that item will be automatically purged from the trash folder.

Registered Agent Service

Change of Registered Agent Form 401

What is a registered agent? The Texas Business Organizations Code (BOC) requires every domestic or foreign filing entity to maintain a registered agent and office in Texas. The Section 5.201(b) of the WordPDF) and 1 Tex. Admin. Code ¤ 79.29.

What is a registered office? An entityÕs registered office must be a physical address in Texas where the registered agent can be served with process during business hours. The registered office is also where the Office of the Secretary of State will mail correspondence. A registered office is the business office address of the registered agent and may be the same as the entityÕs place of business. It cannot, however, be a post office box that is part of a commercial mail or message service unless that commercial enterprise is the registered agent.

USPS Change of Address

That’s up to you. A change of address service is not required but recommended for your convenience. Please note that, if you do NOT file a change of address with the postal service, you must contact senders yourself and notify them of your new Scan Mailboxes address.

There are many “change-of-address” service online, please be sure to go to the Official USPS website by clicking the link below which will only cost you $1.05 to verify your identity.

Note: This affects PERMANENT change-of-address only. Scan Mailboxes is a Commerical Mail Receiving Agency (CMRA).

After you decide to cancel the service with Scan Mailboxes, please be aware that you won’t be able to do the change-of-address with the USPS from your “old” Scan Mailboxes mailing address to your new address. This is part of the USPS regulations and we believe that this is due to the security which is a good idea, anyway!

If you decide to do the permanent change-of-address, you should keep a copy of your confirmation number from the USPS via email and/or letter and you can cancel the change-of-address before the one-year anniversary. After that is done, you can place a new change-of-address from your OLD mailing address (not your Scan Mailboxes mailing address) to your NEW address.

If the change-of-address is over one year and is too late for you to cancel the change-of-address. Here’s the best possible solution before closing your Scan Mailboxes account for good:

  1. Please let each sender know your new mailing address as new mail arrives in your Scan Mailboxes account.
  2. Keep your Scan Mailboxes account open for a month or two until you start to notice that there’s no mail in your account.
  3. That’s when you can request to cancel the service by going here: https://cancel.scanmailboxes.com
  4. We care about your mail need and believe you should not be surprised about this restriction on the change-of-address rule set by the USPS.

First, you need to sign up for a Scan Mailboxes account.

Then you will need to fill out and notarize a postal consent form and have it mailed to us. The postal consent form does not need to be notarized if you plan to stop by our office in person. This is required by the United States Postal Service for security and must be done before we are allowed to handle your mail and package deliveries.

After that is done, you just need to alert senders of your new Scan Mailboxes mailing address.

If we have not received your original Postal Consent Form for more than 30 days, your billing account will still be charged and your mailbox account will be suspended until we receive it.

After you sign up for the service, you’ll be required to complete the online form for us to generate postal consent form with all of your information pre-filled. You will receive an email with the PDF for you to notarize.
